Terms & Conditions

These terms explain how bookings, payments, itinerary changes, rescheduling, cancellations, travel responsibilities, and supplier arrangements work when you book a safari, Kilimanjaro climb, Zanzibar holiday, day trip, or tailor-made Tanzania experience with Serengeti Wild Tours.

1. Who these terms apply to

These Terms & Conditions apply to all bookings made with Serengeti Wild Tours, including private safaris, joining group safaris, Kilimanjaro climbs, Mount Meru climbs, Zanzibar extensions, day trips, cultural visits, airport transfers, accommodation arrangements, and custom itineraries.

By paying a deposit or confirming a trip in writing, you accept these terms on behalf of yourself and all travellers included in your booking.

2. Booking confirmation

Your booking is confirmed after Serengeti Wild Tours receives a 10% downpayment of the total trip cost, unless a different deposit amount is clearly written on your invoice due to special supplier requirements.

Our client-friendly promise: We keep the deposit low so you can secure your Tanzania trip without feeling pressured to pay a large amount too early.

After the deposit is received, we begin confirming services such as guides, vehicles, park plans, mountain crew, hotels, lodges, camps, domestic flights where requested, permits, and other supplier services related to your itinerary.

3. Final payment

The remaining balance is normally due according to the date shown on your invoice or booking confirmation. For Kilimanjaro climbs, clients are welcome to bring the remaining balance in cash and pay on arrival when this has been agreed in writing before travel. For safaris, cash payment on arrival may be possible depending on the safari terms, lodge rules, supplier deadlines, and how close the booking is to the travel date.

For trips involving lodges, camps, domestic flights, special permits, or peak-season travel, earlier payment may be required because suppliers often require payment in advance.

If your trip is booked very close to the start date, full payment may be required at the time of booking.

4. Rescheduling after payment

We understand that travel plans can change because of illness, flight disruption, family reasons, work changes, visa delays, personal emergencies, or other unexpected situations.

Kilimanjaro climbs

If you pay and later fail to travel for any reason, you are welcome to reschedule your Kilimanjaro climb within the next two years without losing your initial deposit.

Safaris

For safari bookings, if the lodges, camps, and other suppliers allow rescheduling, you are welcome to reschedule within one year without losing your initial deposit.

Rescheduling is subject to availability, supplier rules, park fee changes, seasonal price differences, and any non-refundable costs already paid to third parties. If your new travel date has a higher price, you will only need to pay the difference.

5. Prices and what is included

Your quotation or itinerary will explain what is included and excluded. Common inclusions may include accommodation, professional guides, park fees, meals listed in the itinerary, safari vehicle, mountain crew, airport transfers, and activities specifically written in your itinerary.

Items not written as included should be treated as excluded. Common exclusions may include international flights, visas, travel insurance, tips, personal items, drinks not listed, laundry, optional activities, and bank or card charges.

6. Itinerary changes

We always aim to operate your trip as confirmed. However, Tanzania travel can be affected by weather, road conditions, park authority decisions, lodge availability, safety considerations, flight schedule changes, or circumstances outside our control.

If changes become necessary, we will offer a practical alternative that keeps the spirit and value of your trip as close as possible to the original plan.

7. Accommodation and suppliers

Some services are provided by independent suppliers, including lodges, camps, hotels, airlines, ferry companies, payment providers, and park authorities. Their own terms may apply to the services they provide.

For safari bookings, lodge and camp cancellation or rescheduling rules can affect what is refundable or transferable. We will always communicate clearly and help you get the best possible outcome.

8. Traveller responsibilities

Travellers are responsible for having valid passports, visas, vaccinations where required, travel insurance, appropriate clothing and equipment, and accurate personal information for booking purposes.

For Kilimanjaro and Mount Meru climbs, travellers must disclose important medical information before the climb. Our mountain team may make safety decisions during the climb based on weather, altitude symptoms, route conditions, or the health of climbers.

9. Travel insurance

Travel insurance is strongly recommended for all travellers and is especially important for Kilimanjaro climbs, safaris, domestic flights, medical emergencies, baggage issues, trip interruption, and cancellation protection.

For mountain climbs, your insurance should include high-altitude trekking where applicable and emergency evacuation cover.

10. Behaviour and safety

We reserve the right to refuse or discontinue service if a traveller behaves in a way that endangers themselves, our team, other guests, local communities, wildlife, or property.

Travellers must follow guide instructions in national parks, on the mountain, around wildlife, and during cultural visits.

11. Complaints and problem solving

If something is not right during your trip, please inform your guide or our office immediately so we can help while you are still travelling. We cannot properly fix a problem if we only hear about it after the trip has ended.

Any formal complaint should be sent in writing within 14 days after the trip ends.

12. Governing law

These terms are intended to be governed by the laws of Tanzania, unless another law is required by the booking circumstances or applicable consumer protection rules.
